Managing your mailbox

Any material that will be regularly accessed should remain on exchange.

We strongly recommend you delete
email you no longer require

Manually delete old or unwanted messages

Note: Please check if your department has a deletion policy under Freedom of Information.

Typically, messages with attachments (such as sound and image files) take up the most space. You can move messages to your Deleted Items folder, or you can delete them permanently:

Sort your messages to find the types of messages that you want to move or delete.
For example, you can find all messages with attachments by clicking Sort by: Attachment .
Select the unwanted messages.
Do one of the following:

  • Press DELETE to move the messages to your Deleted Items folder.
  • Press SHIFT+DELETE to permanently delete the messages.
  • Drag the messages to a folder on your hard drive to move them to the folder.
  • Store attachments that you need to keep but don't access regularly on your H drive then delete the email.
REMEMBER: Items in the deleted items folder still count towards the overall size of your mailbox.
  • Click Empty to permanently delete items from your Deleted Items folder. 
    (right click deleted items then select 'Empty Deleted items folder)
