Microsoft Campus Agreement (site licence for core products)
What is the Microsoft Campus Agreement?
The Microsoft Campus Agreement is an annual rental programmer for Higher and Further Education customers. It enables the University of Glasgow to run a number of Microsoft applications on desktop systems for an annual fee based on the total number of eligible employees in the institution.
Who is covered by our Campus Agreement?
Staff:
As the fee is based on the total number of eligible employees, (Academic and Academic Related, Clerical and Technical), the use of the software on staff desktop systems is covered. All staff employed by the University of Glasgow are covered by the University's Campus Agreement.
- Honorary and Honorary Clinical staff are NOT covered by the Agreement.
Students:
The University has not purchased a Campus Student Option, however, Research Postgraduate students who are using desktop/laptop systems owned by the University are covered in a similar manner to staff. Students can use the software on any machines, owned or leased by the University that reside on University premises.
Students (including Postgraduate Research Students) are NOT permitted to have copies of Campus Agreement software at home.
Visiting Academics:
Departments MUST register all visiting academics with IT Services for confirmation of software use.
Teaching labs / open access clusters:
During the agreement period, software can be used on any teaching lab and/or open access cluster PCs within the University.
Period of Campus Agreement?
The University of Glasgow has a three year Campus Agreement effective 1 August 2006 until 31 July 2009, therefore we are currently in the second year and the Agreement is reviewed annually. It is expected that funding will continue for this Agreement.
What products are Included?
The University of Glasgow Campus Agreement platform enables use of the following products on desktop systems. It does NOT cover server licences.
Desktop Campus:
- Microsoft Office Professional (Word, Excel, Access, PowerPoint and Outlook)
- Microsoft Office Pro for Macintosh (Word, Excel, PowerPoint and Virtual PC)
- Windows 32-bit operating system upgrade to the current standard. It should be noted that all new machines are supplied with an operating system licence.
- Additional Software support under the agreement:
Desktop Licence for ACCESS only - Windows Server, Exchange Server, Systems Management Server & Share Point Portal Servers. It should be noted that not all of these servers are in use within the University of Glasgow
During the agreement period, software can be used on any teaching lab and/or open access cluster PCs within the University.
Campus grants the option during the term of the agreement to run the software in any available language. This includes the right to run the Multi-Language version of Office and its corresponding features, such as a global interface and Multi-Language proofing tools.
What is Microsoft's "Upgrade/Downgrade" Policy?
The annual fee paid under the Campus Agreement enables you to use the most current version of the licensed products. It also covers you for any future upgrades of those products during the term of your Agreement.
If an organisation has standardised on an earlier version of product(s) e.g. your standard Office package is Office Pro 97, then "downgrading" from the most current version to an earlier version is also permitted.
Please note, if you downgrade a product you may not be licensed to use all of the components of the latest version, e.g. Office Pro 2000 includes Publisher. However, if you chose to use Office Pro 97 instead, you would not be licensed to use Publisher, as this is not a component product of earlier versions of Office Pro, nor is it included in the latest version - Office XP Pro. How do I acquire other Microsoft Products?
Microsoft products not covered by the Campus Agreement can be purchased from the IT Services Admin Front Desk through our Select agreement.
What about Media?
The Campus Agreement is a rental programme only. Media can be purchased from the IT Services admin front desk through our select agreement at a cost of £20 per CD. Orders usually take 10 working days from order to supply.
What about Home Use by Staff?
- Staff are able to run one copy of the University of Glasgow Campus Agreement software for work-related purposes on a laptop or home PC that they lease/own.
- Under the terms of the Campus Agreement we are required to ensure that users are fully aware of the terms and conditions under which they are permitted to use the software.
- For home use, staff are required to sign the declaration contained in the form - Microsoft Campus Agreement : Code of Conduct for Employee Home Use of Software [download the Code of Conduct for Employee Home Use of Software form].
- The declaration must be countersigned by your Head of Department or authorised representative. The declaration acknowledges that staff will take all reasonable steps to adhere to the conditions contained in the Code of Conduct.
The signed declaration should be sent to the Admin Front Office, IT Services, with a departmental requisition to cover the ordering of the software media required. A copy of the signed declaration should be held by the staff member and their head of department. Departments must keep a record of users who receive software media for Work at Home Use Rights.
Where a member of staff leaves or has their home use rights terminated by the University, the Head of Department must:
- Ensure that the member of staff's access to all University servers from home is terminated.
- Notify the staff member that they must delete/remove all copies of the Campus software from temporary RAM and permanent memory of their machine.
- Ensure that any software media is returned to the University.
Should a member of staff replace their home machine they must ensure that the Campus agreement software is deleted/removed from the old machine before installation on the new machine, as the Campus Agreement only allows staff to run one copy of the software for home use.
