2. News

It has been decided, by the Joint Workforce Planning and Development Sub-group, to align our consultant appraisal and job planning with the schedule set for NHS consultants. A revised timetable is therefore attached for your information.

Heads of Division are asked to submit a list of appraisers to the Dean in advance of the three month appraisal period, by 31st July annually.  They should gain local agreement on the NHS appraisers.

The annual appraisal cycle will begin on 1st August with all appraisals to be completed by 31st October.

Under the new arrangements the Job Planning round will commence on 1st November, with a view to having all the necessary signatures in place by the beginning of March, so permitting the necessary Pay Progression to be actioned in the April payroll run.  This time table should commence immediately.

If you have been appointed recently and your first appraisal and job plan is due one year from the date of appointment, it is recognised that there will need to be some initial flexibility. However, your aim should be to move onto the same time-table, albeit that your pay progression will be actioned on the anniversary of appointment rather than the 1st April annually.

3. Job plan administration

The formal job plan is jointly agreed between the honorary consultant, the relevant Head of Division (HOD) and the relevant NHS Associate Medical Director between 1st November and the beginning of March each year. During the job planning meeting the Job Plan Template and the Annual Pay Progression Form is completed.

The fully signed up Job Plan and Pay Progression Form should be copied to:

Ms Maxine O'Donnell
Medicine - Education & Administration
Wolfson Medical Building
University Avenue

Please note that the Pay Progression Form should also be sent to the relevant NHS Chief Executive.

On receipt of the Job Plan, the Faculty Office will obtain the signature of the Dean and forward the job plan and pay progression form to HR. HR will then obtain the signature of the appropriate NHS Associate Medical Director.

Once the fully signed up job plan has been returned, HR will issue the academic EPA contract. When this has been signed and returned (and on receipt of the signed pay progression form), HR will advise payroll to implement seniority pay progression.

A flow chart detailing the Job Planning process can be found here - Flow Chart for Job Planning

Please note that there will be no seniority progression or EPA payments made until the job plan and pay progression form is received by HR. If there is a substantial reason why you cannot submit the necessary paperwork by 31 March, then please contact Mrs Fiona McLachlan, HR Manager to discuss.
