Data Protection information

The University is committed to protecting your personal information in accordance with the Data Protection Act 1998. The information collected for the purposes of this directory will therefore be processed in accordance with the Act. Further information about the Act is available on the pages of the University's data protection office at: www.gla.ac.uk/dataprotection/.

The University can publish the staff email and telephone directory on the Internet for the normal organisational functioning and management of the institution. Individual Staff members retain the right to object to the use of their data where it could cause them significant damage or distress. If this is the case and a member of staff does not wish their telephone number and email address to be available on the Internet, a mechanism is available to allow staff to opt out of the externally available directory. Under these exceptional circumstances, the member of staff should provide details in writing to the Human Resources Department. The request will be assessed confidentially by the HR Manager who will advise the member of staff accordingly and, if approved, the data will be withdrawn from access outwith the University campus. It will be expected that other information about the member of staff will also be withdrawn from Faculty and Department web pages.

The Staff Directory is populated from extracts from the Human Resources database. The information is provided by the Human Resources Department, Departmental/ University Postmasters and the University Telephone System. Corrections to any inaccurate data should be notified to the individual data sources for update: see guidance note on contact page.

 


Telephone System: Personal Telephone Number Updates

To change telephone or fax number details held within the Telephone System please complete the form below and click Send. The revised details will be amended on the Telephone System and on the Contacts website at the next upload, normally weekly.

Other changes to personal details e.g. Surname change, should be notified to the HR department who in turn will inform the Telephone System data control via interface report.
